The basic process for going from paper copies of the minutes is fairly straightforward.

  • Scan the printed documents, taking care to scan only the actual minute-side of each document.
  • Convert the scanned image to Word text using ABBYY’s FineReader 15 software.
  • Spellcheck the converted Word document.
  • Copy and paste the Word text into a Drupal page with a ‘URL Path Setting’ format of “YYYY-MM-DDDoverQuarterlyMeeting”.  Type any handwritten notes in the original text.
  • Proofread the HTML/CSS version.
  • Tidy up the HTML/CSS, including page-breaks, font-sizes, and other formatting issues.  For the treasurer’s report, this means copying and pasting into a basic table framework, since the conversion process doesn’t handle the underlying table shape well.
  • Anticipate links that readers may wish to follow and insert internal and external hyperlinks to enable them.  Usually this means inserting ‘domain-neutral’ links to both external webpages and on-page, internal links to individual sections of the webpage..
  • Test and verify the links.
  • Publish and ask readers to report conversion mistakes, typographical, spelling errors, etc.
